Activity Logging & the Follow-Up System That Closes Deals

The highest performers aren't the best salespeople — they have the best systems

Research from Sales Hacker shows that top-performing sales reps log 5x more activities per deal than average performers. The difference isn't work ethic — it's visibility. When every call, email, and meeting is logged, you know exactly where every relationship stands and what needs to happen next. When nothing is logged, you're operating on memory — and memory fails at scale.

Logging activities in Proactiq CRM

Open any contact or deal and click Add activity. Log:

  • Call — Duration, outcome, and key points discussed. What did you promise? What did they say?
  • Email — Subject line and key points. Paste the email body if the conversation was important.
  • Meeting — Who attended, what was decided, and what the next steps are. Write this immediately after the meeting, not hours later.
  • Note — Anything else worth remembering: a competitor they mentioned, a personal detail that builds rapport, a concern they raised.

The golden rule of every activity log

Every activity log must end with a clear next step — with a specific action, a specific person responsible, and a specific date. Compare these two logs:

  • Bad: "Called Rajesh. Left voicemail."
  • Good: "Called Rajesh. Left voicemail. Will call again Thursday 11am if no response. Sent follow-up email with case study."

The second version tells the next person who opens this record exactly what to do — whether that's you in 3 days or a new team member 3 months from now.

Filtering your activity feed

Go to CRM → Activities and filter by:

  • Date: Last 48 hours — Your recent conversations to review and follow up on
  • Assigned to: Me — Your personal task list
  • Type: Call — All calls logged this week (useful for sales manager review)

Use this as your daily starting point: 5 minutes reviewing yesterday's activities, identifying what needs follow-up today.
