Creating CRM automations in Proactiq
Go to Settings → Automations → New rule. Every automation has a trigger and an action.
The three automations every sales team should have
Automation 1: New Lead Alert
- Trigger: Contact created with status = Lead
- Action: Send notification to assigned salesperson
- Why: Leads contacted within 5 minutes of inquiry are 100x more likely to convert than leads contacted after 30 minutes (MIT study)
Automation 2: Deal Won → Finance Handoff
- Trigger: Deal stage changes to Won
- Action: Send notification to Finance team with deal details
- Why: The invoice should be created the same day the deal closes, not 3 days later when someone remembers to mention it
Automation 3: Deal Lost → Manager Review
- Trigger: Deal stage changes to Lost
- Action: Send notification to sales manager
- Why: Every lost deal is a learning opportunity. The manager should review the lost reason and discuss it with the salesperson within 24 hours, while the details are fresh.
The webhook integration (advanced)
Set the automation action to Webhook and connect to any external system. When a deal is marked Won, you can simultaneously:
- Add the client to an email onboarding sequence in your marketing tool
- Create a project in Proactiq Projects for delivery
- Post a notification to your team Slack channel
One deal closure triggers three downstream actions — all without anyone touching a keyboard.
